This position oversees all operations and staff within Tarpon Bay, and ensures safety and security for its residents. EXPERIENCE PREFFERED.Candidate Qualifications: Candidates should hold the credential of State of Florida Community Association; Have excellent communication skills. Ability to make informed and well thought out decisions.Job Tasks (Duties):Responsible for day to day operations of the property and manages staff; including annual employee evaluations.  Oversee the compliance to the Declaration of Covenant, By-Laws, Conditions and Restrictions and the applicable rules and regulations of the Association. Oversee the compliance of all laws, statues, ordinances and rules of all appropriate governmental authorities having jurisdiction. Hire and supervise the training of all employees to properly maintain and operate the Association. Work closely with Accountant and Attorney to ensure all financial and legal activities are functioning promptly. Oversee and maintain all documentation files including: Employee, Residents and Vendor files. Be familiar with all insurance coverage and work with Board(s) to ensure coverage is appropriate. Ensure that automation is utilized to the greatest extent possible i.e. Reports, Database, Files, etc. Develop and communicate to the Master Board, Sub Boards, and the Community the procedures and protocols for response to Emergencies effecting Tarpon Bay.  Monitor and maintain property cameras as well as other security equipment. Oversee Clubhouse rentals and deposits. Including walk- through prior and after rentals (checking for damage and stains). Develop rental process. Supervise the distribution, application and recording of all bar code stickers and proximity cards.  Accept resident complaints concerning covenants violations and send out follow up letters. Respond to infractions in accordance with bylaws and ensure all appropriate steps and procedures are completed.  Weekly inspections on property.  Provide Board(s) monthly Covenant Enforcement Report  Post notices of Board(s) Meetings, Community Standard Hearings etc. in accordance with Florida Statutes.  Maintains educational requirements mandated to keep CAM license active.  Oversee ARB approval & denial letters to residents and attend meetings.  Maintain working relationship with Vendors and acquire Bids when necessary. Works closely with Maintenance Supervisor.  Understands the key aspects of the Responsibilities and Duties of the Maintenance Supervisor.  Create committee rosters annually and send out approval/denial letters on behalf of the Board President.  Attend board/sub board and committee meetings and document minutes.  Produce monthly newsletter and master calendar of events.  Maintain the Tarpon Bay website – ensure all online documents are current and accurate (updated).  Responsible for running credit and background checks on prospective Tenants.  Responsible for new renter’s procedures including setting up new files.  Respond to all Tarpon Bay business and resident emails as needed. Board of Director’s Meetings:  Prepare Agenda and Post  Collect all Documents to go into Board packet and distribute to the Board.  Collect all committee meetings minutes from previous month and distributto the Board in their Board packet.  Annual Members’ Meeting:  Send out Meet the Candidate Notices.  Place committee sign-up sheet out along with mission statements at Meeting.  Candidates Night.  Prepare all necessary forms with the Nominating Chair for the Annual  Meeting- Oversee the counting of the Ballots and attend Annual MeetingAll other duties assigned by the Master Board.
